Notes:
Email is a good way to get your message across when you need to get in touch with a person who is hard to reach via telephone or other reasons. It completes your follow through on matters in most cases.
It creates a record of the message and allows for good communication.
Always remember the 5 W’s – “The 5Ws” guideline, when investigating the Who, What, Where, When and Why of a phone call.
Do not send phone related messages in any other form, and do not include details in your log. If the phone call immediately impacts your shift or the next shift, include a summary of the information.
Example: Instructor left a phone message about revising tomorrows in class requirements – COMM 116 Tuesday at 3pm. They want 2 extra cameras to be present. I have also detailed this in a phone message.
